SCHOOL PTA FINANCE & HANDOVER
PTA Wallet
Keep the money, receipts and handover in one place.
A working financial record for school PTAs — built for continuity, not just accounting.
The problem
The problem was not accounting.
It was continuity.
A South West London primary school PTA had a recurring operational problem. Committee roles change regularly, and each new treasurer inherited a mixture of spreadsheets, emails, WhatsApp messages, receipts, payment-platform accounts, bank information, documents and handover notes. The financial information existed. The problem was knowing where everything was, what still needed doing and how the operation actually worked.
Every handover
- Where is the money?
- Which receipts exist?
- What still needs doing?
- Who do we even talk to?
- One record. No reconstruction.
Before, every change of committee meant a new treasurer piecing the operation back together from whatever the last one left behind. Knowledge walked out of the door with the people.
PTA Wallet brings that working record together. Money, receipts, reimbursements, payment routes, events, recurring responsibilities, contacts and handover information stay with the organisation rather than disappearing when the people change.
The role changes. The record shouldn’t disappear with it.
How it works
The record stays. The people change.
PTA Wallet keeps the working financial record, actions, recurring responsibilities and handover information in one shared place — so the next volunteer starts from the record, not from scratch.
- RecordLog income and spending wherever the money actually moves.
- EvidenceKeep receipts and reimbursements attached to their transactions.
- ActOpen actions are visible, owned and followed up.
- RepeatRecurring responsibilities come back round on their own.
- Hand overContacts, documents and knowledge stay when people change.
Before and after
We didn’t replace what already worked. We removed the slow part.
BEFORE
- Money spread across bank accounts and payment platforms
- Receipts in inboxes, drawers and WhatsApp threads
- Actions living in people’s heads
- Recurring responsibilities re-discovered each year
- Handover dependent on who is leaving
- Every new treasurer reconstructing how it all works
AFTER
- One working financial record
- Money tracked across every account and payment route
- Receipts and reimbursements kept with their transactions
- Open actions visible to the whole committee
- Recurring responsibilities scheduled and assigned
- Handover knowledge stays with the organisation
What we kept
- the existing bank accounts
- the existing payment platforms
- the committee’s own way of working
- volunteer-friendly simplicity
Built for volunteer committees.
- school PTAs
- parent associations
- volunteer treasurers
- committees with regular handovers
The role changes.
The record shouldn’t disappear with it.
